How to wish a client happy birthday professionally
A client birthday message has one job: to show that you see the client as a person, not an account. Five habits get you there.
- Use their name, and the name they use with you. If they sign emails “Suresh”, don’t open with “Dear Mr Iyer”. If you’ve only ever written formally, stay formal.
- Say one true thing. Mention the project you finished, how long you’ve worked together, or something they told you about their plans. That line is what separates a wish from a mail merge.
- Keep the wish itself simple. “Have a wonderful day” or “wishing you a great year ahead” is enough. Grand wishes about dreams and destiny sound odd from a supplier.
- Leave out the pitch. No renewal reminders, upsells or “while we have you”. For retail customers a genuine gift is fine; more on that below.
- Sign it from a person. “Rahul, Brightline” feels like a note. “Team Brightline” feels like a campaign.

Should you send birthday wishes to clients at all?
Usually yes, but not always. A birthday message lands well when there is a real relationship behind it and the client gave you their birthday knowingly. It can feel intrusive when you’ve spoken twice, or when the date came from somewhere they didn’t expect you to look. A few situations call for care:
- The date came from another purpose. A date of birth on a loan application, insurance proposal, patient form or ID copy was collected for that process. Using it for a greeting can feel like surveillance, and depending on your country it may break data protection rules that limit personal data to the purpose it was collected for. Ask for birthdays separately, for greetings.
- The relationship is new or thin. A first-month client can get a simple, formal wish. Save the warm, familiar lines for people you actually know.
- Some people don’t celebrate birthdays, for religious, cultural or personal reasons. If a client tells you so, remove the date. If you work in a community where this is common, make the birthday field optional and say why you’re asking.
- Age is private. Never mention it, even for round numbers, unless the client has made a point of it themselves.
- Gifts can create problems in B2B. Many companies limit what employees may accept from suppliers. For corporate clients, a message or card is the safe default.

Sending birthday wishes on WhatsApp: the rules
WhatsApp works well for birthday wishes because people read it and can reply in a tap. But a business that sends birthday wishes to many clients on the WhatsApp Business Platform has to follow Meta’s rules.
Birthday wishes are marketing templates. Meta’s template categorization guidelines (updated 15 September 2026) list, under “Build Customer Relationships”, the example “{{Name}}, did you think we’d forget? No way! {{Happy_birthday}}! We wish you the best in the year ahead.” Templates whose content is unclear, such as ones containing only “Congratulations!”, are also treated as marketing. Don’t try to submit a birthday wish as utility; Meta can recategorise it.
Templates need approval, and review has rules. Meta says an approval decision “can take up to 24 hours”, a template “cannot start or end with a parameter”, and “the number of emojis allowed in the body component may also be limited” (Meta, Template review). Submit your birthday template a few days before you need it, keep emojis to one or two, and give a sample value for every variable; our explainer on WhatsApp message templates covers the parts of a template.
Clients must have opted in. The WhatsApp Business Messaging Policy allows businesses to contact people only if “you have received opt-in permission from the recipient confirming that they wish to receive subsequent messages or calls from you”. Having a client’s number on an invoice isn’t enough. Our WhatsApp opt-in guide covers wording that works.
Not everyone will receive a marketing template. Meta says WhatsApp “may limit the number of marketing template messages a WhatsApp user receives from any business” based on factors including the person’s recent marketing read rate. It also says WhatsApp “does not currently deliver marketing template messages to WhatsApp users with United States phone numbers” (Meta, Per-user marketing limits). For US clients, send birthday wishes by email, card or a personal WhatsApp message from your own phone.
If the client wrote to you recently, you don’t need a template. Inside a 24-hour customer service window, which opens when the customer messages you, you can reply with a normal free-form message. A client who wrote about an order this morning can get a personal “Happy birthday, by the way!” in the same chat.

What birthday messages cost on WhatsApp
Meta charges per delivered template, by category and by the country code of the recipient’s number. From Meta’s rate card effective 1 October 2026 (rates in rupees, from the INR card linked on Meta’s pricing page):

A worked example. A salon in Bengaluru has 1,200 opted-in customers with birthdays on file. Birthdays spread across the year, so about 100 fall in a typical month. One birthday template each costs 100 × ₹0.8631 = ₹86.31 a month in Meta charges. How to collect client birthdays, with consent
Automated birthday wishes are only as good as the dates behind them. Collect them openly.
- Ask for day and month only. You don’t need the year to send a wish, and not asking avoids handling age. (Some tools need a full date in the field; if yours does, use a fixed placeholder year and say so in your process notes.)
- Say why you’re asking. “Share your birthday and we’ll send you a small treat on the day” is honest and gets better answers than an unexplained field.
- Make it optional. A required birthday field produces fake dates, and fake dates produce awkward messages.
- Ask where it fits naturally: a loyalty sign-up, a membership form, onboarding for a new client, or a WhatsApp message asking “When’s your birthday? How to automate birthday wishes without sounding automated
Once dates are collected, a simple daily routine sends every wish on time.
- Keep one clean list. A sheet or CRM with the client’s name, mobile number with country code, birthday, and a column for anyone who opted out. If your client records already live in a WhatsApp CRM, keep birthdays there as a custom field.
- Get one or two templates approved. A general wish, and a version with a gift for retail customers. Write them in your own voice, not a generic one.
- Schedule a daily send in the morning. A tool checks the list each day and sends the template to everyone whose birthday it is. Around 9 or 10 in the morning in the client’s time zone is a sensible default; a message at 2 a.m. isn’t a nice surprise.
- Tag who was wished. A tag such as “birthday-2026” helps you avoid double sends and lets you see who replied.
- Reply personally. People often answer “Thank you!” Someone on your team should reply by hand within the day. That exchange is what makes the automation feel human.
- Hand-write for the top tier. Pull the list of the week’s birthdays for key clients and send those wishes yourself, or call.

Mistakes that make a birthday wish backfire
- Getting the name wrong, or sending “Dear Customer”. Check the name field before any automated send, and skip contacts with no proper name.
- Mentioning age, or joking about getting older. It’s personal, and the joke rarely travels well.
- Turning the wish into a sales message. “Happy birthday! Your renewal is due next week” undoes the gesture.
- Offers with strings. “20% off orders over ₹5,000” isn’t a gift; it’s a promotion with a birthday label.
- Wrong day or wrong time. Mixed date formats (is 04/06 April or June?) and time-zone gaps cause wishes to arrive a day early or in the middle of the night.
- Messaging people who never opted in, especially on WhatsApp, where blocks and reports can lead Meta to limit your sending.
- Ignoring replies. A “Thank you so much!” left unanswered tells the client the message was a machine.
