The consultancy trade here looks like a sales business and behaves like a compliance one.

An application is assembled over months — transcripts, test results, financial documents, clearances — each arriving from a different place with its own deadline. What goes wrong is almost never the sale. It is a single page missing at the wrong moment, discovered late enough that an intake is lost and the work of a whole season with it.

Which means the useful messaging here is per-document rather than per-person. One applicant needs a reminder about a financial paper due on Friday; another needs nothing at all because their file is complete; a blanket message to both is noise to one of them and insufficient for the other. Tracking the outstanding item and reminding against its own deadline is unglamorous, and it is the difference between a practice that scales and one that runs on somebody’s memory.

There is a second audience nobody accounts for properly. The applicant is not usually the person paying, and the parent or guarantor who is may read Punjabi where the applicant reads English, and may want reassurance where the applicant wants a status. That is two messages from one event, and sending only the first is why so many of these conversations end with a phone call asking what is happening.

One number, several people

A closing note that matters more here than the feature list suggests.

Businesses in this city are frequently built around one or two people who know every buyer personally, and the WhatsApp history sitting on their handset is, in a real sense, the firm’s customer record. It is also entirely undocumented, unbacked up, and one resignation away from leaving the building.

Moving to a shared business number does not change how those relationships work. The merchandiser still handles their buyers. What changes is that the thread belongs to the company, a colleague can answer a Sunday enquiry without borrowing a phone, and next year’s conversation starts from this year’s rather than from scratch.
