The habit that separates a working engineering account here from a frustrating one is small and it has nothing to do with copywriting.
Every outbound message should carry the reference the recipient files it against. A purchase order number. An invoice. A despatch document. The reason is that the other end of this conversation is not a customer in any ordinary sense — it is a buying desk or a stores team tracking a list of open orders, and a message describing a consignment without naming which order it belongs to has to be traced manually before anyone can do anything with it.
Done properly this also keeps the account small. One template with the reference as a variable serves every order you will ever ship, which matters when template approvals are the slow part of any change. Done badly you end up with a template per customer, and a library nobody wants to touch.
